Come join us! We are hiring a casual Medical Secretary for coverage on our Nephrology and Diagnostics, RT, and Sleep Departments.
Pay Grid: $27.37 - $28.34 /hour.
Reporting to the Clinical Nurse Managers of Dialysis and Manager of Diagnostics, RT & Sleep, the Medical Secretary performs duties which facilitate the efficient operation of both units. You will deal with the patients, families, staff, outside resources and the public in a professional polite manner.
Duties will include but are not limited to: • Answers the telephone, retrieves internet messages, and receives faxed documents and distributes the messages to the appropriate Physician/Nurse. • Takes direction and works with the team leader in order to facilitate patient care needs. • Completes requisitions for Medical Imaging, Lab, etc. as directed and as required. • Assists in the facilitation and booking of patient/family/team meetings as required. • Files/scans Lab/DI/Consults and other patient information/results on the appropriate patient records after review of the physician and primary nurse/Team Leader. • Prepares for in-patient admissions for both medical and surgical admissions. • Forwards all consults for Specialists (Nephrology, Internal Medicine, etc.), and books internal and external consults as required.
• Assist Nurses with clerical support for all in-patients. • Schedules appointments for patients while being treated as an in-patient and schedules post-discharge follow-up appointments as required. • Books patients into clinics and diagnostics as ordered by Physicians and Nurses and makes associated arrangement such as transport, chart copy, etc. • Performs computer activities as required in the EHR • Organizes chart components including preparing for admissions and discharges and transfers, ordering forms, POC scanning, downtime protocols, etc. • Organizes physician communication such as on-call schedules, physician away notifications, daily round sheets, etc. • Communicates with other departments as necessary to facilitate patient care i.e. admitting, dietary, booking diagnostics, paging lab, coordinating dialysis treatment schedules, etc. • Communicates changes with patient diets to the dietary department and orders patient/staff meals for patient transport • Orders stationary supplies and special-order medical supplies. • Securing patient information in a confidential manner while communicating patient information both internally and externally. Navigates patient records in the EHR for current in-patient charts, previous admission charts, etc. • Communicates with patients, families, multi-disciplinary team and members of the public. • Organizes team communication – phone book, memos, education, etc. • Completes administrative tasks as assigned by the Clinical Nurse Manager including memos, meeting minutes, documents, forms, etc. using computer applications such as Microsoft Word, Power Point, Excel, etc. QualificationsQualifications: • Graduate of an approved Office Administration Medical Program or current experience in providing secretarial support in a health care environment essential. • Medical Terminology certificate essential. • Typing Speed of 50 WPM, essential. • Computer skills and demonstrated working knowledge of computer applications used within the Hospital essential • Knowledge of patient scheduling essential. • Ability to work independently, as well as in a fast-paced environment with interruptions. • Demonstrated organization, customer service and communication skills. • Physically able to perform the duties within the physical demands of the work area.
