As a result of an upcoming maternity leave at RVH, we are hiring Temporary Full-Time Human Resources Assistant with our Human Resources Department. This position is anticipated to last 12 months.
Pay Grid: $30.01 - $36.48 /hour
Working under the direction of the VP People, Diagnostics, and Support Services and alongside the Human Resources Coordinator the incumbent shall provide administrative support to the VP People, Diagnostics, and Support Services and efficient and timely customer service to Senior Executives, Managers, Staff in areas of Human Resources and Payroll.
QualificationsDuties will include but are not limited to: • Acts as the first point of contact for all Human Resources related inquiries, as well as all miscellaneous hospital-wide inquiries that cannot be answered by Switchboard, providing timely and accurate responses. • Liaise with hiring managers regarding recruitment needs, job descriptions, final hiring decisions etc. • Prepare job descriptions along with department heads. • Prepare job postings, sets up push notifications for when applicants apply and assist with related duties including job offer letters, subsequent postings, advertising, etc. • Ensure external job postings are visible and regularly refreshed. • Organizes attendance at job fairs. • Monitor resumes/applications received via internal and external platforms, daily, screens and distributes to hiring managers accordingly. This may include confirmation of registration as a regulated health professional as needed. • Contact and book in candidates for interviews per manager direction, Prepare interview packages. May participate in interviews and administer testing as appropriate. • Process reference checks, criminal record checks, vaccine requirements, and ensure an expedited onboarding process. • Initiate and maintain computer and paper personnel files for staff and ensure that these are accurate, current and complete. • Administer the Hospital Photo I.D. program for all staff, physicians, volunteers, students and clergy. • Complete new user network access requests. • Identify opportunities to improve recruitment strategies, tactics and processes to attract talent. • Coordinates monthly reporting for employee probationary period memo, including Surge learning progress and probationary review information, and send to Managers. • Prepares reporting on upcoming employee performance appraisal due dates and sends regular reminders to Managers. May schedule performance reviews for managers, preparing and sending out paperwork. • Audit regulated health profession registrations of active staff on an annual basis. • Prepare and distribute seniority lists in accordance with the collective agreements and Hospital policies. • Maintain pay period list and statutory holiday lists. • Responsible for coordinating/interviewing/placing all Co-Op student requests received (i.e. local high schools, colleges, adult schools, etc.) within the various departments of the Hospital. Liaise with personnel of local secondary schools, colleges and alternate schools. • May represent RVH at job fairs, recruitment communities of practice etc. • Prepare correspondence and reports for VP People, Diagnostics & Support Services and other Departments. • Set up meetings with multiple internal and external stakeholders using Zoom and MS Teams. • Schedule meetings, arrange registration for seminars, track credit card invoices. • Prepare and distribute Hospital policies and procedures for Human Resources ensuring that the respective manuals are reviewed and updated. • Book rooms and distribute memos to other departments, including Dietary, Physical Plant, Respiratory Therapy, Environmental Services, Clinical Records and Communications when required. • Prepare minutes from meetings and refer approved information to appropriate individuals for action and/or follow-up.
Qualifications: • A graduate of a Business and/or Human Resources program • A minimum of two (2) years’ experience in a human resources and/or payroll environment, ideally in a unionized environment • Attention to detail, sense of urgency. • Excellent computer, communication and customer service skills • The ability to work in a dynamic deadline-oriented environment
